Account, subscription, and billing
All steps on this page are done in the web application under Settings → Account, subscription, and billing — not in the iOS or Android app.
There you manage license and subscription, storage, billing address, payment method, and invoices (partly via the linked customer portal).
Use without prepayment
You can use the app without prepayment: drafts and work on protocols are free until you complete a protocol (and it is stored in the cloud).
License and subscription
Ordering a license
The first license purchase and plan changes use Change subscription. Available plans are shown; activation runs through checkout (see below).
What you can change in the account area

- Invoices (in the customer portal)

For package plans (STARTER, TEAM, PROFESSIONAL, PORTFOLIO):
- Upgrades (higher plan): any time
- Downgrades and cancellation: only after the 3-month minimum term
Checkout
A popup blocker may block the checkout page. Allow popups for the app or site if the payment window does not open.
Storage
Billing and storage apply to the organisation (team). Each organisation includes 750 MB of free cloud storage depending on the license.
Storage add-on
Extra cloud storage is booked as a storage add-on. Package sizes are on the Pricing page.
Add-ons are added to existing license storage (not replaced).
How to book or change storage:
- Open Settings → Account, subscription, and billing
- Choose Change subscription
- Select the storage add-on and complete the order
After confirmation, the package applies for the current billing period.
When storage is full
If the quota is exceeded, new data cannot be stored until you book extra storage or free space.
You get a notice and can book storage or delete archive/protocol data you no longer need. Completed protocols remain. Protocols that could not be finished for lack of space can be completed after freeing storage or upgrading.

Lower usage with fewer videos, adjusted photo quality (app settings), retention, and archive cleanup — see FAQs on Pricing.
Billing
Protocols
Completed protocols in a calendar month are billed at month end. The quantity discount uses the total protocols in that billing month and is applied automatically.
- The included protocols per month of the selected plan apply to every protocol.
- The price of a protocol on plan FLEX or when exceeding the included plan amount depends on object type and cause — more information on Pricing.
Storage charges
Booked storage packages are billed monthly while active, separate from pay-per-use protocol billing.

Use the calculator on Pricing for breakdowns, quantity discount, and VAT (occasion, object category, object type).
Payment and invoices
Payment methods: SEPA direct debit and credit card.
Invoicing: electronic (details in FAQs on the pricing page).
Change billing address and payment method under Settings → Account, subscription, and billing. Retrieve invoices there or in the customer portal.
