Overview
Team users can use the application on different devices – whether smartphone, tablet or desktop PC. The interface adapts automatically to the device and enables comfortable, structured use.
Workflow
Staff can plan at the desktop in the office, retrieve information on the go via smartphone, or document on site with a tablet. All data stays in sync and up to date – regardless of which device is used.

One tablet – multiple users
Shared device mode
In day-to-day operations it is often more efficient when several people use the same device. With the shared device mode, a single tablet can be used flexibly by different team members.
User switching & attribution
Team members can be set up directly on the device. When starting the Protocol App, the active user is selected so that every session is clearly attributed.
Note
automatic signature is not available in shared device mode.

Control rights and access precisely
Roles & access
A differentiated rights and roles system allows access rights to be managed precisely. Administrators can define who may view, edit or delete data.
Delete rights, settings or security-related functions can be assigned to specific roles. This keeps companies in control of sensitive data and avoids unintended changes.

Structured deployment planning for team users
Preparation on PC
Objects, contacts and appointments are conveniently prepared in admin on the PC. In advance, all relevant information, checklists and object or customer data can be fully added and assigned to individual team users with their own device.
Recurring appointments
Appointments can be planned in a structured way and defined as recurring series where needed. Start and end dates and exact repeat intervals can be set – for example for regular property inspections, safety reports or maintenance protocols. Predefined checklists are assigned automatically.
On-site execution
On site at the property, one tap on the appointment on your smartphone is enough. All prepared content is immediately available – you only need to add ratings and take photos.

User Central team structure with clear roles
Invites & sync
The administrator can invite new team users with their own device directly from the system. The invitation is sent by email and confirmed by the user. After installing the Protocol App, the assigned team workspace is selected automatically and relevant data is synchronised.
Central team workspace
All team members work within a shared, centrally managed environment.
Permissions
Rights are clearly defined: team users with their own device can create and edit protocols but cannot delete objects or protocols or change settings.
Admin functions
Administrative functions – such as user management, delete rights or system settings – are reserved exclusively for the admin.
