Understanding the Protocol App
The Protocol App is object-centric software: it maintains objects (e.g. flats, commercial units) and everything you need for clear, traceable documentation. On top of that you create protocols — a recorded snapshot at a specific point in time, including photos and videos.
What an object contains
An object groups information you reuse across documentation work:
- Core data — e.g. name, address, links, static images (such as floor plans or property photos).
- Contacts — people and roles that are part of the documentation process (e.g. owner, tenant, landlord).
- Sectors — they structure the object (for a flat, typically rooms or other meaningful parts).
- Meters — readings and related details where applicable.
- Keys and access — documentation-relevant key / access information.
- Text — building blocks and free text used in protocols.
You maintain this data once on the object and can reuse it for new protocols.
What a protocol is
A protocol is documentation of the object (and relevant data) at a moment in time, enriched with on-site media such as photos and videos. The object remains the source; each new protocol builds on the current object state and adds what is needed for that occasion.
After it is generated: A finished protocol is stored in the Archive, where you can find and manage it later. You can also send it to the contacts who take part in the documentation (for example owners or tenants — depending on your workspace setup and workflow).
Practical effect: over time work gets easier because master data, sectors, contacts, and texts are not recreated for every protocol — you keep extending the object.
