Device users
Besides your registered main account, the Protocol App can manage additional user profiles on one device. In the UI this block is labelled “Device users” (header in the user menu shows a count of entries).
What it is for
- One sign-in, several people on the same device: There is only one login (email / magic link, OTP, or password for the primary user). Under that account you can create more profiles without those people having their own cloud account.
- Typical for shared tablets or company devices where different staff document in turn without everyone registering separately.
Where to find it
- Open the user menu (profile area in the header). The top row “My data” opens contact editing for the main account — see My data.
- Expand Device users (the number in brackets is the main user plus device users).
Choosing the active “user”
Inside the accordion there is a radio list:
- First row: Your main profile (first and last name of the signed-in account). The pencil opens My data / profile editing.
- Further rows: Each device user with name; pencil to edit and an icon to remove.
Whichever row is selected controls which contact identity you are working with — e.g. in protocols and anywhere the app uses the active user. Pick the right entry before documenting so name and role are correct.
Add a device user
- Tap Add device user.
- The app opens capture for a new contact in the colleague / device-user context (no separate sign-in).
- After saving, the user appears in the list and can be selected.
Edit and remove
- Edit: Pencil next to the device user.
- Remove: Remove icon — the entry is dropped from this device / local configuration (details may vary by app version).
Privacy and sign-in notes
The “Device for multiple users” guidance in the app stresses:
- Follow data protection and internal rules when several people share the same device session.
- The device should be protected (e.g. device passcode).
- The primary account should not be reused on other devices in parallel to avoid sync conflicts.
- Sign-in remains only with the registered primary user credentials — device users are profiles, not separate logins.
