Create and edit contacts

Create a contact

  1. Tap Add (+)
  2. Enter details — at least name or company, plus a role (e.g. tenant, owner)
  3. Save

If a role filter is active, that role is pre-selected in the form. More fields (email, phone, address) make contacts easier to find later.

Company or person

A contact can be recorded as a company. As a company-only entry, no first name or last name is stored — the contact cannot be a participant. Company contacts are correspondence-only contacts for the protocol.

Role and participant

  • The role is shown in the protocol and can be changed there.
  • If the contact is listed as a participant, they can sign the protocol.

Visibility and address

  • Visibility settings limit whether address, email, and phone appear in the protocol.
  • Addresses are entered using Google Maps.
  • Without an email address, the protocol cannot be sent automatically by email to that contact.

Edit a contact

  • Open the contact → Edit → change → Save
  • Or use the menu (⋯) → Edit

Detail view and menu

The detail view shows all data and linked objects. From the menu (⋯) you can also:

  • Search in archive — related protocols and documents
  • Search objects — only objects linked to this contact
  • Delete

Delete contacts

Single: Menu (⋯) → Delete → confirm. Deletion is permanent.

Multiple: Select contacts with checkboxes (or Select all for the filtered list) → Delete → confirm.

When deleting, you may optionally delete linked protocols as well. This requires ADMIN rights and is protected. More information: Compliance.

Note

If a new contact does not appear in the list, reset filters and refresh (pull down). For overview and sync: Managing contacts.
